Loan for exhibitions
The authorization for the loan of an archival resource for exhibitions on the national territory or abroad is part of the exclusive protection responsibilities assigned to the Ministero della cultura (art. 48, D. Lgs. 22 gennaio 2004, n. 42).
Therefore, the owners or holders of archives or single records (State, public institutions, individuals whose archive has been declared having particularly important historical interest) who want to exhibit archival resources need to contact the Soprintendenza archivistica e bibliografica, in order to obtain an authorization. We must receive your application for a loan not less than four months prior to the opening date of the exhibition (art. 48, comma 2).
The applicant must explain the exhibition project and give details of the title, duration and location in which the exhibition will take place. Furthermore, it is necessary to show the “nail to nail” insurance for the records requested and the exhibition facility report.
When requesting a loan, the applicant must:
- give details of the exact folio, or folios, to be displayed,
- indicate the responsible for the custody of the records,
- indicate the insurance value,
- provide photography of the records that will be exhibited.
At the end of the exhibition, the owner or holder of the records exhibited must communicate their return.
Exhibitions and events in Italy
The authorization is granted by the Soprintendenza archivistica, in accordance with the Decreto Dirigenziale del 6 luglio 2010, n. 250 (art. 1 b) della Direzione Generale Archivi. The request for authorization to lend must be submitted at least four months prior the opening day of the exhibition to:

Exhibitions and events abroad
The owners of archival resources who request the temporary exit of records for exhibitions or events outside the Italian territory must contact the competent Archival Superintendency that will send the request together with its opinion to the Direzione Generale Archivi. The latter will decide whether authorize or not the loan,considering the scientific importance of the exhibition, possible risks for the preservation of the object lent and, regarding statal assets, the public use.
An insurance policy (called polizza fideiussoria) issued either by a bank, insurance or finance company, for an amount exceeding ten per cent of the value of each asset allows the temporary exit of assets not belonging to the State or to public administration.
For the authorization of a temporary exit (art. 66) of assets for events and exhibitions abroad, it is necessary the recognition of great cultural interest of the event by the Ministero della Cultura and the guarantee of integrity and safety of the assets.
For events and exhibitions outside the EU territory, a temporary transfer certificate (attestato di circolazione temporanea) and a temporary export license of the assets (licenza di esportazione temporanea) issued by the Export Office (Ufficio esportazione) valid for six months are necessary, in accordance with the European Community law (Council Regulation (EEC) No 3911/92, art. 2).
